7. Our pilgrimages are usually "all inclusive" which means we include airfare, hotels, two meals a day, sightseeing, tour escort throughout, transfers. Let us know if you prefer not to include dinners in some cities?

8. Approximate number of pilgrims? Remember group consists of minimum 15 people.
It is possible to operate group with as few as 5, and 10 however, in order to have a good price it's best to materialize 15!

* Ideally you should start promoting your group 12 months prior to departure, although we often do put together groups 9 - 6 months prior to departure.

* Do you need our help in finding a priest or do you have one already? Our pricing will include the cost of the Priest. Remember one of the most important components of any pilgrimage is Mass Daily..

* Our competitive group pricing will offer you good selling price while not skimping on inclusions.

* Our custom group pricing will give you as many free trips as needed.

* First step is to pick a departure date and itinerary

* Size of group can be approximate, however plan on minimum 15.

* We will also feature it (if needed and asked) on our as an upcoming tour on our website.

* You may chose to do collection of deposits/final payment or we can do it for you.

These many years pilgrims have taught us a fundamental truth about organizing fruitful religious travel: Initial planning and itinerary building are essential to a successful pilgrimage. For this reason, we will spend time to customize your itinerary to your specific needs. We will organize Mass scheduled daily or at intervals along the way or quiet times for prayer. Our staff understands the needs of a Pilgrim and we go out of their way to meet those needs.


Promotion

Once you have picked your date, priest, destination you must pass the word out and invite others to join your group. We will help you set up promotional material, and we are very specific that it must show clearly what is included (and what is not included), itinerary, price, dates, terms and conditions. Each person that signs up must acknowledge that they have understood terms and conditions.

We will send you by e-mail your customized email flyer for your promotional purposes. You will need to review this flyer very carefully and all it's contents on the webpage we have especially designed for you. The intent is for you to ensure it's accuracy.

Your main responsibility is to promote your group, spread the word, brochures and webpage. Share about your trip to everyone you know. Your are the tour host, so you will be the liaison with the overseas tour guides in coordinating daily activities and if any changes needed and resolving any situations which may arise. The overseas tour escort is a highly trained professional is with you at all times, leaving you free to enjoy your trip and take care of the needs of your pilgrims.

Coordinating a group pilgrimage will be one of the most rewarding experiences. You and your pilgrims will COME BACK FOR MORE. We will work together to design a unique and memorable pilgrimage. Pilgrimages are ideal for family reunions, church groups, youth groups, student groups, class reunions, senior citizens, singles, interest groups, neighbors, couples or anyone seeking the spiritual refreshment that Only a pilgrimage can provide.

GROUP PROCEDURES, DEADLINES and OPERATION
Once you give Excelsior Tour a "go ahead" we will proceed to make allotments with airlines, hotels, buses, sightseeing, guides and other services. We will help you with setting up an email promotional brochure which will feature the itinerary, price, what is and what is not included, our terms and conditions as well as the application/ registration form.

Registration forms along with deposits will be sent by your pilgrims / tour participants or by group coordinators as received. The tour participant is confirmed once their registration is received. Names on the registration form must match name on passport. It will not be possible to change the name.

ALLOTMENT UTILIZATION SCHEDULE
From the moment you start receiving deposits and registrations please forward them over to Excelsior Tour.

90 days prior - Preliminary name list, rooming list and deposits are revised.
At this time we should have approximately 50 - 60% of our allotment sold.

60 days prior - Final Payment is Due
Final Airline Name Lists are due. Rooming List, please clearly indicate roommates, must note any special rooming requests, especially those requesting single and triple rooms.Please list any special requests or conditions. Names of Clergy (as per passport and as they would like to be called). Special meals or special diet requests. List any flight deviations, add-on flights. Send insurance recap. Make sure to check all names and what is on your invoice.

If payments are not made by 60 days prior reservations are subject to cancellations.

30 days prior / - Excelsior Tour is processing final documents & airline tickets

21 days prior / - up to 15 days prior your group should have portfolio of travel documents and final travel instructions

Note: Within 60 days prior - and up until 7 days prior, Excelsior Tour will make every effort to accommodate new bookings, providing that space (air and land) is still available. If confirmed, payment in full must be sent within 24 - 72 hours of confirmation.
